The way you approach Hip hop event Date planning largely determines the success of your show. One good strategy is to pick a day that has no competition. Check the calendar to make sure you are not throwing the same kind of event on the same day as anyone else unless you do not mind sharing your crowd.

As long as there is no major headliner shows that would interest your crowd weekends like Friday and Saturday are always a good choice. I always felt like it was very hard to compete with headliner events because they usually had way more funding, better promotions, and well recognized entertainers.

Sunday has also been a good day for Cleveland events thrown in the past. One thing to consider is the date you chose for your event will largely determine your overall costs. In most cases and especially downtown weeklies are your best chances of getting a venue for free.

Once you have the luxury of a following you are able to switch venues without loosing your crowd. Another good technique a lot of promoters use is to pick a day and stick with it for most of their shows.

I always ask the owner when is the day I can have it the cheapest. It is usually a weekday but a lot of clubs downtown and in the flats are empty all weekend. The amount of money you spend on the venue and date are all dependent on your level of skill and your reputation.

I remember one time I was throwing a going away party for Dj Duckets at club 727 located on Bolivar rd behind Jacobs field. I think it has had its name changed to Champions since then. I only had about two weeks to promote so we made about 3000 paper flyers and passed them out everywhere.

On the day of the event I got to the club early to help set up. When I got their it was closed. I called the club owner Michelle about fifty times before I realized that no one was coming.

She finally answered an hour before open and told me their was an emergency and she could not make it. Now this is a worst case scenario that I could have avoided by getting everything in writing.

Since I did not I was royally screwed.

Lucky for me I got connects…

I called Shad from what was at the time club Insomnia and asked him what he was doing on this fine Wednesday evening. He said they were usually dead on that day. I asked him if he would mind letting me pack his club all I would need is control of the music.

I told him the situation I was in and how it was actually a going away party for a friend. After a couple minutes of my sob story he agreed to let us use his venue as long as we could guarantee him a good night for the bar. So we posted a note on the door of club 727 and then we sped out to North Olmsted to set up.

The moral of the story is the most important date planning advice I can give you. No matter what date you decide on make sure all date agreements are in writing and signed by the club.
